DEAN, STUDENT AFFAIRS CELL/OFFICE
Purpose:
The Dean, Student Affairs Office/Cell is an independent coordinating body to ensure better, speedy and timely services to the learners at head office as well as at study centres. Hence it acts as a quality maintaining body for providing better support services to students coordinating and consulting with respective heads of the branches of the University.
Functions/Responsibilities of Dean, Student Affairs Office:

To coordinate the student support activities with respective heads of branches depending on the issues/cases of students and to ensure timely service to the students.

To monitor in sending the student tuition fee and contact-cum-counselling schedules/ letters and books to the concerned students and study centres as per the Academic Calendar with support of the concerned heads of branches/units/sections

To coordinate with PRO section to see that necessary charts and sign boards/direction boards are kept in appropriate places at head office and at study centres to facilitate the students to get appropriate information, guidance and speedy service.

To ensure that all types of applications and proformas are made available to the students to obtain T.C/M.C/P.C, and for facilitating changes like Optionals /Medium etc to the students at L.S. Centre and Study Centres..

To prepare a MANUAL to provide to U.G. and P.G. centres as a source book for guidance to the heads of study centre on issues like-duration of U.G./P.G. programmes (maximum / minimum), procedure for change of Optionals, medium, procedure of re-admission by old batch students and requisite fee (programme-wise), direct admission into II & III year U.G. and P.G. Programmes to facilitate effective services to the U.G., P.G. students by coordinating and consulting the respective Directors, Deans and Heads of the Departments

To arrange to prepare the charts and handouts whenever, wherever necessary to increase the awareness among the students and study centres functionaries about issues pertaining to information on programmes offered such as new courses/ programmes, responsibilities of distance learners and corresponding guidelines to R.C.C./Study Centres heads and Academic Counsellors.

To transmit opinions/grievances of learners on any academic issues to the notice of Director, Academic and concerned faculty and deans whenever necessary.

To maintain a "Student's Grievance Box" at Learner Service Centre at the head office to facilitate the students to drop the letters pertaining to their grievances. The Dean, Student Affairs will go through the letters / grievances of students which provide feedback to the University which serves as a resultant factor to take appreciate action and measures to provide better services.

To coordinate with concerned institution/incharges at our University for timely release of financial assistance and sanction of "Student Scholarships" and Student Welfare Fund given by any Indian/Foreign organisations and by our University.

The Dean office will apart from doing periodical surveys/interviews with students it also serves to act as feedback machinery/agency on issues of student support services by meeting a group of students at some study centres and those students that approach the head office to provide better services. Based on their feedback necessary inputs for quality maintenance will be recommended whenever in warrant.

Interacting with learners through electronic media, like radio conferencing. teleconference and video lessons on the learners issues to give valuable information required and to dispet their doubts and to note their specific grievances.

To maintain the records of students problems and grievances after taking appropriate action to help and to support the learners in their learning process.

To deal with any specific complaints received from learners.
